Apex for food and beverage
Trade terms that pay out exactly what was agreed.
In food and beverage, the price on the invoice is only the start. Volume rebates, promotional allowances and growth incentives follow it, often tracked in spreadsheets and settled late. Apex accrues them from every invoice in your ERP and drafts the settlement when the period closes.
What applies
The functions food and beverage teams start with.
Rebates
Tiered volume and growth rebates accrued from invoiced sales, per customer or buying group.
Price agreements
Customer price lists by item and pack size, with effective dates and promotions.
Index-linked pricing
Commodity-linked prices for inputs such as dairy, grain or packaging, reset on contract dates.
Invoicing
Invoices priced from the agreement, checked against the customer's PO, then written to the ERP.
Rebate tiers
See every customer's tier before the quarter ends.
Volume to date, the next tier and what the accrual is today, for every program. Sales knows who is close; finance knows what is owed.
Accruals
Accrued as you invoice, not estimated at quarter end.
| Spreadsheet rebates | Apex | |
|---|---|---|
| Accrual | Estimated once a quarter | Updated with every posted invoice |
| Tier change | Found after the period closes | Shown as the customer approaches it |
| Settlement | Calculated by hand | Drafted as a credit note for approval |
| Audit | Formulas in a shared file | Each accrual traced to its invoices |
Yours
Your trade terms stay yours.
The programs you offer each retailer, distributor and buying group are commercial decisions you have spent years making. Apex is set up to them exactly, keeps them in your own tenant, and fits nothing into a template.
Your programs
Rebates and promotions as you wrote them.
Your customers
Buying groups and hierarchies from your ERP.
Your ledger
Credit notes and accruals recorded in your ERP.
Agents propose, people approve
The agent drafts. A person decides.
An order agent turns customer POs into draft orders priced from the agreement, and a rebate agent drafts each settlement credit note with the invoices behind it. People approve both.
Every agent stops at an approval gate until it has earned its way out of one. Nothing releases cash, commits spend or touches a customer without a person saying so.
Your dataModels that read your data run inside your environment, behind your firewall. No client data reaches a frontier lab.
Start here, keep the foundation
Start with one function. Add the rest without starting over.
For a food and beverage company, rebates are a good first function, because that is where the money is hardest to see. With customers and invoices in your Ferrata foundation, adding price agreements or invoicing later uses the same records.
FAQ
Questions, answered plainly.
What is rebate management?
Rebate management is defining, accruing and settling the incentives you pay customers for volume, growth or promotion. Done well, every accrual traces to the invoices behind it and settlement matches the agreement.
Can Apex handle buying groups?
Yes. Rebates can be calculated across a group of customers from your ERP's customer hierarchy, then settled to the group or to each member.
How are rebates paid out?
As credit notes against the customer's account, drafted at period end and written to your ERP once approved. Apex does not process payments.
Can promotional pricing run alongside agreements?
Yes. A promotion carries its own dates and items, and applies on top of the customer's agreement for that period.
What about deductions customers take?
Apex shows the accrual a customer is owed, which makes a deduction easier to check. Deduction handling itself stays in your receivables process.
Which ERPs do food and beverage companies use with Apex?
SAP, NetSuite and Dynamics 365, configured to your own item masters, pack sizes and customer hierarchy.
